Who is responsible for data collection on this website?
Data processing on this website is carried out by the website operator. You can find their contact details in the Legal Notice (Impressum) of this website.
How do we collect your data?
Some of your data is collected when you provide it to us. This may, for example, be data that you enter into a contact form.
Other data is collected automatically by our IT systems when you visit the website. This data is primarily technical data (e.g., your internet browser, operating system, or the time of the page view). This data is collected automatically as soon as you enter our website.
What do we use your data for?
Part of the data is collected to ensure the error-free provision of the website. Other data may be used to analyze your user behavior.
What rights do you have regarding your data?
You have the right, at any time and free of charge, to obtain information regarding the origin, recipients, and purpose of your stored personal data. You also have the right to request the rectification, blocking, or deletion of this data. For this purpose, as well as for any further questions regarding data protection, you may contact us at any time at the address provided in the Legal Notice. Furthermore, you have the right to lodge a complaint with the competent supervisory authority.

The analysis of your browsing behavior is generally conducted anonymously; your browsing behavior cannot be traced back to you. You may object to this analysis or prevent it by refraining from using specific tools. Detailed information regarding this can be found in the privacy policy below.
You may object to this analysis. We provide information regarding your options to object within this privacy policy.
2. General Information and Mandatory Disclosures
Data Protection:
The operators of these pages take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with statutory data protection regulations and this privacy policy.
When you use this website, various items of personal data are collected. Personal data consists of data with which you can be personally identified. This privacy policy explains what data we collect and what we use it for. It also explains how and for what purpose this takes place.
We would like to point out that data transmission over the Internet (e.g., when communicating via e-mail) may be subject to security vulnerabilities. Complete protection of data against access by third parties is not possible.
Note on the Responsible Party:
The responsible party for data processing on this website is:
Michael Altmann
Thaerstraße 47
10249 Berlin
Phone: 015736855508
E-mail: info@michaelaltmann.com
The responsible party is the natural or legal person who, alone or jointly with others, decides on the purposes and means of processing personal data (e.g., names, e-mail addresses, etc.).
Revocation of Your Consent to Data Processing:
Many data processing operations are only possible with your express consent. You may revoke consent you have already given at any time. An informal notification sent to us by e-mail is sufficient for this purpose. The legality of the data processing carried out up to the point of revocation remains unaffected by the revocation.
Right to Object to Data Collection in Special Cases and to Direct Advertising (Art. 21 GDPR)
Where data processing is based on Art. 6 Para. 1 lit. e or f of the GDPR, you have the right, at any time and on grounds relating to your particular situation, to object to the processing of your personal data; this also applies to profiling based on these provisions. You can find the respective legal basis upon which any processing is based in this Privacy Policy. If you object, we will no longer process the personal data in question, unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights, and freedoms, or the processing serves the establishment, exercise, or defense of legal claims (Objection pursuant to Art. 21 Para. 1 GDPR).
If your personal data is processed for the purposes of direct marketing, you have the right to object, at any time, to the processing of personal data concerning you for the purpose of such marketing; this also applies to profiling insofar as it is related to such direct marketing. If you object, your personal data will subsequently no longer be used for the purposes of direct marketing (Objection pursuant to Art. 21 Para. 2 GDPR).
Right to lodge a complaint with the competent supervisory authority:
In the event of violations of the GDPR, data subjects have the right to lodge a complaint with a supervisory authority, in particular in the Member State of their habitual residence, their place of work, or the place of the alleged infringement. This right to lodge a complaint exists without prejudice to any other administrative or judicial remedies.
Right to Data Portability:
You have the right to have data that we process automatically—based on your consent or in fulfillment of a contract—provided to you or to a third party in a commonly used, machine-readable format. If you request the direct transfer of the data to another controller, this will be done only insofar as it is technically feasible.
SSL/TLS Encryption:
For security reasons and to protect the transmission of confidential content—such as orders or inquiries that you send to us as the site operator—this site uses SSL or TLS encryption. You can recognize an encrypted connection by the fact that the browser's address bar changes from “http://” to “https://” and by the padlock icon in your browser's address bar.
When SSL or TLS encryption is activated, the data you transmit to us cannot be read by third parties.
Encrypted Payment Transactions on This Website:
If, following the conclusion of a paid contract, you are required to transmit your payment details to us (e.g., bank account number for direct debit authorization), this data is required for payment processing purposes.
Payment transactions utilizing standard payment methods (Visa/MasterCard, direct debit) are conducted exclusively via an encrypted SSL or TLS connection. You can identify an encrypted connection by observing that the browser's address bar changes from "http://" to "https://" and by the presence of a padlock icon in your browser's address bar.
During encrypted communication, the payment data you transmit to us cannot be intercepted or read by third parties.
Access, Blocking, Deletion, and Correction:
In accordance with applicable statutory provisions, you have the right at any time to obtain—free of charge—information regarding your stored personal data, its origin and recipients, and the purpose of the data processing; furthermore, you have the right, where applicable, to the correction, blocking, or deletion of such data. For inquiries regarding this matter, as well as for any other questions concerning personal data, you may contact us at any time at the address provided in the Legal Notice (Impressum).
Right to Restriction of Processing:
You have the right to request the restriction of the processing of your personal data. To do so, you may contact us at any time at the address provided in the Legal Notice. The right to restriction of processing exists in the following cases:
• If you contest the accuracy of your personal data stored by us, we typically require time to verify this. For the duration of this verification, you have the right to request the restriction of the processing of your personal data.
• If the processing of your personal data was or is unlawful, you may request the restriction of data processing instead of its erasure.
• If we no longer require your personal data, but you require it for the establishment, exercise, or defense of legal claims, you have the right to request the restriction of the processing of your personal data instead of its erasure.
• If you have lodged an objection pursuant to Art. 21 Para. 1 GDPR, a balancing of interests between your interests and ours must be performed. As long as it has not yet been determined whose interests prevail, you have the right to request the restriction of the processing of your personal data.
If you have restricted the processing of your personal data, such data—with the exception of its storage—may only be processed with your consent, or for the establishment, exercise, or defense of legal claims, or for the protection of the rights of another natural or legal person, or for reasons of important public interest of the European Union or of a Member State.
Objection to Promotional Emails:
We hereby object to the use of contact data—published within the scope of our legal obligation to provide an imprint—for the purpose of sending unsolicited advertising and informational materials. The operators of these pages expressly reserve the right to take legal action in the event of the unsolicited sending of advertising information, for instance, via spam emails.
3. Data Collection on Our Website
Cookies:
Our web pages utilize so-called "cookies." Cookies do not cause any damage to your computer and do not contain viruses. Cookies serve to make our website more user-friendly, effective, and secure. Cookies are small text files that are placed on your computer and stored by your browser.
Most of the cookies we use are so-called "session cookies." They are automatically deleted after the end of your visit. Other cookies remain stored on your device until you delete them. These cookies enable us to recognize your browser the next time you visit.
You can configure your browser to notify you whenever cookies are being set, to allow cookies only on a case-by-case basis, to refuse the acceptance of cookies for specific instances or in general, and to enable the automatic deletion of cookies when you close your browser. Disabling cookies may limit the functionality of this website.
Cookies that are necessary for carrying out electronic communication or for providing specific functions you have requested (e.g., the shopping cart function) are stored on the basis of Art. 6 Para. 1 lit. f of the GDPR. The website operator has a legitimate interest in storing cookies to ensure the technically error-free and optimized provision of its services. Insofar as other cookies (e.g., cookies used to analyze your browsing behavior) are stored, these are addressed separately in this Privacy Policy.
Server Log Files:
The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These include:
• Browser type and browser version
• Operating system used
• Referrer URL
• Hostname of the accessing computer
• Time of the server request
• IP address
These data are not combined with other data sources.
The collection of this data is based on Art. 6 Para. 1 lit. f GDPR. The website operator has a legitimate interest in the technically error-free presentation and the optimization of his website—to this end, the server log files must be recorded.
Contact Form:
If you submit inquiries to us via the contact form, your details from the inquiry form—including the contact data you provided therein—will be stored by us for the purpose of processing your inquiry and for use in the event of follow-up questions. We will not share this data without your consent.
Consequently, the processing of the data entered into the contact form is carried out exclusively on the basis of your consent (Art. 6 Para. 1 lit. a GDPR). You may revoke this consent at any time. An informal notification sent to us via email is sufficient for this purpose. The lawfulness of the data processing operations carried out prior to the revocation remains unaffected by said revocation.
The data you enter into the contact form will remain with us until you request its deletion, revoke your consent for its storage, or the purpose for the data storage ceases to apply (e.g., after your inquiry has been fully processed). Mandatory statutory provisions—particularly statutory retention periods—remain unaffected.
Inquiries via Email, Telephone, or Fax:
If you contact us via email, telephone, or fax, your inquiry—including all resulting personal data (name, content of inquiry)—will be stored and processed by us for the purpose of handling your request. We will not share this data without your consent.
The processing of this data is based on Art. 6 Para. 1 lit. b GDPR, insofar as your inquiry relates to the fulfillment of a contract or is necessary for the implementation of pre-contractual measures. In all other cases, the processing is based on your consent (Art. 6 Para. 1 lit. a GDPR) and/or on our legitimate interests (Art. 6 Para. 1 lit. f GDPR), as we have a legitimate interest in the effective handling of inquiries directed to us.
The data you transmit to us via contact inquiries will remain with us until you request its deletion, revoke your consent for its storage, or the purpose for storing the data ceases to apply (e.g., after your request has been fully processed). Mandatory statutory provisions—in particular statutory retention periods—remain unaffected.
Registration on This Website:
You may register on our website in order to utilize additional features available on the site. We use the data entered for this purpose solely for the provision of the specific offer or service for which you have registered. The mandatory information requested during registration must be provided in full; otherwise, we will decline your registration.
In the event of significant changes—such as changes to the scope of our services or technically necessary updates—we will use the email address provided during registration to inform you of these changes.
The processing of the data entered during registration is based on your consent (Art. 6 Para. 1 lit. a GDPR). You may revoke any consent you have granted at any time. A simple informal notification sent to us via email is sufficient for this purpose. The lawfulness of any data processing carried out prior to such revocation remains unaffected.
The data collected during registration is stored by us for as long as you remain a registered user on our website; thereafter, it is deleted. Statutory retention periods remain unaffected.
Registration via Facebook Connect:
Instead of registering directly on our website, you may register using Facebook Connect. The provider of this service is Facebook Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland.
If you choose to register via Facebook Connect and click the “Login with Facebook” / “Connect with Facebook” button, you will be automatically redirected to the Facebook platform. There, you can log in using your user credentials. This links your Facebook profile to our website and/or our services. Through this link, we gain access to the data you have stored on Facebook. This primarily includes:
• Facebook Name
• Facebook Profile and Cover Photos
• Facebook Cover Photo
• Email address stored on Facebook
• Facebook ID
• Facebook Friends Lists
• Facebook Likes
• Date of Birth
• Gender
• Country
• Language
This data is used to set up, provide, and personalize your account.
Registration via Facebook Connect, and the associated data processing operations, are carried out on the basis of your consent (Art. 6 para. 1 lit. a GDPR). You may revoke this consent at any time with effect for the future.
Further information can be found in the Facebook Terms of Service and the Facebook Privacy Policy. These are available at: https://de-de.facebook.com/about/privacy/ and https://de-de.facebook.com/legal/terms/.
Processing of Data (Customer and Contract Data):
We collect, process, and use personal data only insofar as it is necessary for the establishment, content-related structuring, or modification of the legal relationship (inventory data). This is carried out on the basis of Art. 6 Para. 1 lit. b GDPR, which permits the processing of data for the fulfillment of a contract or for pre-contractual measures. We collect, process, and use personal data regarding the use of our website (usage data) only insofar as this is necessary to enable the user to utilize the service or to bill for it.
The collected customer data is deleted following the completion of the order or the termination of the business relationship. Statutory retention periods remain unaffected.
Data Transmission upon Conclusion of a Contract for Online Shops, Retailers, and Product Shipping
We transmit personal data to third parties only when this is necessary within the scope of contract fulfillment—for instance, to companies entrusted with the delivery of goods or to the credit institution commissioned with payment processing. No further transmission of data takes place, or it occurs only if you have expressly consented to such transmission. Your data will not be passed on to third parties without your express consent—for example, for advertising purposes.
The legal basis for this data processing is Art. 6 Para. 1 lit. b GDPR, which permits the processing of data for the fulfillment of a contract or for pre-contractual measures.
Data Transmission Upon Conclusion of Contracts for Services and Digital Content:
We transmit personal data to third parties only when this is necessary for the fulfillment of the contract—for instance, to the financial institution responsible for payment processing.
No further transmission of data takes place, or occurs only if you have expressly consented to such transmission. Your data will not be shared with third parties without your express consent—for example, for advertising purposes.
The legal basis for this data processing is Art. 6 Para. 1 lit. b GDPR, which permits the processing of data for the fulfillment of a contract or for the implementation of pre-contractual measures.
4. Analytics Tools and Advertising
Google Analytics:
This website uses functions of the web analytics service Google Analytics. The provider is Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.
Google Analytics uses so-called "cookies." These are text files that are stored on your computer and enable an analysis of your use of the website. The information generated by the cookie regarding your use of this website is generally transmitted to a Google server in the USA and stored there.
The storage of Google Analytics cookies and the use of this analytics tool are based on Art. 6 Para. 1 lit. f of the GDPR. The website operator has a legitimate interest in analyzing user behavior in order to optimize both its web offering and its advertising.
IP Anonymization:
We have activated the IP anonymization function on this website. As a result, your IP address is truncated by Google within member states of the European Union or in other contracting states to the Agreement on the European Economic Area prior to transmission to the USA. Only in exceptional cases is the full IP address transmitted to a Google server in the USA and truncated there. On behalf of the operator of this website, Google will use this information to evaluate your use of the website, to compile reports on website activity, and to provide other services related to website usage and internet usage to the website operator. The IP address transmitted by your browser within the scope of Google Analytics will not be merged with other data held by Google.
Browser Plugin:
You can prevent the storage of cookies by adjusting the corresponding settings in your browser software; however, please note that if you do so, you may not be able to utilize the full functionality of this website. Furthermore, you can prevent Google from collecting the data generated by the cookie and related to your use of the website (including your IP address), as well as prevent Google’s processing of this data, by downloading and installing the browser plugin available at the following link: https://tools.google.com/dlpage/gaoptout?hl=de.
Objection to Data Collection:
You can prevent the collection of your data by Google Analytics by clicking on the following link. An opt-out cookie will be set, which prevents the collection of your data during future visits to this website: Disable Google Analytics.
For more information on how Google Analytics handles user data, please refer to Google’s Privacy Policy: https://support.google.com/analytics/answer/6004245?hl=de.
Data Processing Agreement:
We have entered into a data processing agreement with Google and fully implement the strict requirements of the German data protection authorities regarding the use of Google Analytics.
Demographic Features in Google Analytics:
This website utilizes the "Demographics" feature of Google Analytics. This enables the creation of reports containing information regarding the age, gender, and interests of site visitors. This data is derived from Google's interest-based advertising as well as from visitor data provided by third parties. This data cannot be attributed to any specific individual. You may deactivate this feature at any time via the Ads Settings in your Google account, or you may generally opt out of the collection of your data by Google Analytics, as described in the section titled "Objection to Data Collection."
WordPress Stats:
This website uses the WordPress Stats tool to statistically analyze visitor traffic. The provider is Automattic Inc., 60 29th Street #343, San Francisco, CA 94110-4929, USA.
WordPress Stats uses cookies that are stored on your computer and enable an analysis of your use of the website. The information generated by these cookies regarding your use of our website is stored on servers in the USA. Your IP address is anonymized after processing and prior to storage.
"WordPress Stats" cookies remain on your device until you delete them.
The storage of "WordPress Stats" cookies and the use of this analytics tool are based on Art. 6 Para. 1 lit. f of the GDPR. The website operator has a legitimate interest in the anonymized analysis of user behavior in order to optimize both its web offering and its advertising.
You can configure your browser to notify you whenever cookies are placed, allowing you to accept cookies on a case-by-case basis, to refuse cookies in specific instances or in general, or to enable the automatic deletion of cookies when you close your browser. Disabling cookies may limit the functionality of our website.
You may object to the future collection and use of your data by setting an opt-out cookie in your browser by clicking on this link: https://www.quantcast.com/opt-out/. If you delete the cookies on your computer, you must set the opt-out cookie again.
Google Analytics Remarketing:
Our websites utilize the features of Google Analytics Remarketing in conjunction with the cross-device capabilities of Google AdWords and Google DoubleClick. The provider is Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.
This feature enables us to link the advertising target groups created via Google Analytics Remarketing with the cross-device capabilities of Google AdWords and Google DoubleClick. In this way, interest-based, personalized advertising messages—which have been tailored to you based on your previous usage and browsing behavior on one device (e.g., a mobile phone)—can also be displayed on another of your devices (e.g., a tablet or PC).
If you have granted the appropriate consent, Google links your web and app browsing history to your Google Account for this purpose. This allows the same personalized advertising messages to be displayed on any device on which you are signed in with your Google Account.
To support this feature, Google Analytics collects Google-authenticated IDs of users, which are temporarily linked to our Google Analytics data in order to define and create target audiences for cross-device advertising.
You can permanently opt out of cross-device remarketing/targeting by disabling personalized advertising in your Google Account; to do so, please follow this link: https://www.google.com/settings/ads/onweb/.
The aggregation of the collected data within your Google Account is based exclusively on your consent, which you may grant or revoke within Google (Art. 6 Para. 1 lit. a GDPR). For data collection processes that are not aggregated within your Google Account (e.g., because you do not have a Google Account or have objected to the aggregation), the data collection is based on Art. 6 Para. 1 lit. f GDPR. The legitimate interest arises from the fact that the website operator has an interest in the anonymized analysis of website visitors for advertising purposes.
Further information and the privacy policy can be found in Google's Privacy Policy at: https://policies.google.com/technologies/ads?hl=de.
Google AdWords and Google Conversion Tracking:
This website uses Google AdWords. AdWords is an online advertising program provided by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, United States (“Google”).
As part of Google AdWords, we utilize a feature known as conversion tracking. When you click on an ad served by Google, a cookie for conversion tracking is placed on your device. Cookies are small text files that your internet browser stores on your computer. These cookies expire after 30 days and are not used to personally identify users. If the user visits certain pages of this website and the cookie has not yet expired, Google and we can recognize that the user clicked on the ad and was redirected to that specific page.
Each Google AdWords customer receives a unique cookie. These cookies cannot be tracked across the websites of different AdWords customers. The information collected using the conversion cookie is used to generate conversion statistics for AdWords customers who have opted in to conversion tracking. Customers are informed of the total number of users who clicked on their ad and were redirected to a page tagged with a conversion tracking tag. However, they do not receive any information that could be used to personally identify individual users. If you do not wish to participate in this tracking, you can opt out by easily disabling the Google Conversion Tracking cookie via your internet browser's user settings. You will then not be included in the conversion tracking statistics.
The storage of “conversion cookies” and the use of this tracking tool are based on Art. 6 Para. 1 lit. f of the GDPR. The website operator has a legitimate interest in analyzing user behavior in order to optimize both its web offering and its advertising.
For more information on Google AdWords and Google Conversion Tracking, please refer to Google’s Privacy Policy: https://policies.google.com/privacy?hl=de. You can configure your browser to notify you when cookies are being set, to allow cookies only on a case-by-case basis, to refuse the acceptance of cookies in specific instances or generally, and to enable the automatic deletion of cookies when you close your browser. If you disable cookies, the functionality of this website may be limited.
Facebook Pixel:
Our website uses the visitor action pixel provided by Facebook (Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA; hereinafter “Facebook”) for the purpose of conversion measurement.
This allows us to track the behavior of website visitors after they have been redirected to the provider's website by clicking on a Facebook advertisement. This enables us to evaluate the effectiveness of Facebook advertisements for statistical and market research purposes and to optimize future advertising measures.
The data collected is anonymous to us as the operator of this website; we cannot draw any conclusions regarding the identity of the users. However, the data is stored and processed by Facebook, thereby enabling a connection to the respective user profile; Facebook may use this data for its own advertising purposes, in accordance with Facebook’s Data Policy. This allows Facebook to enable the placement of advertisements on Facebook pages as well as outside of Facebook. We, as the website operator, have no influence over this use of the data.
The use of the Facebook Pixel is based on Art. 6 Para. 1 lit. f of the GDPR. The website operator has a legitimate interest in effective advertising measures, including the use of social media.
For further information regarding the protection of your privacy, please refer to Facebook’s Data Policy: https://de-de.facebook.com/about/privacy/.
You can also deactivate the “Custom Audiences” remarketing feature in the Ad Settings section at https://www.facebook.com/ads/preferences/?entry_product=ad_settings_screen. To do this, you must be logged in to Facebook.
If you do not have a Facebook account, you can opt out of usage-based advertising from Facebook on the website of the European Interactive Digital Advertising Alliance: http://www.youronlinechoices.com/de/praferenzmanagement/.
5. Newsletter
Newsletter Data:
If you wish to subscribe to the newsletter offered on this website, we require an email address from you, as well as information that allows us to verify that you are the owner of the specified email address and that you consent to receiving the newsletter. No further data is collected, or is collected only on a voluntary basis. We use this data exclusively for sending the requested information and do not pass it on to third parties.
The processing of the data entered into the newsletter subscription form is carried out exclusively on the basis of your consent (Art. 6 Para. 1 lit. a GDPR). You may revoke your consent to the storage of your data and email address, as well as their use for sending the newsletter, at any time—for instance, by using the "Unsubscribe" link within the newsletter. The lawfulness of any data processing operations that have already taken place remains unaffected by such revocation.
The data you provide to us for the purpose of subscribing to the newsletter will be stored by us until you unsubscribe from the newsletter; it will be deleted following your cancellation of the subscription. Data stored by us for other purposes remains unaffected by this.
Use of FunnelCockpit:
The marketing software FunnelCockpit has been—or is being—used and/or integrated into our website (or parts thereof), as well as into parts of our email communications (e.g., for sending newsletters). This service is provided by a German vendor with servers located in Germany.
a. Cookies and Local Storage:
To enhance the user experience on our website and enable the use of specific features, we utilize so-called "cookies" and "HTML5 Local Storage." Cookies and Local Storage are small text files that are placed and stored on your device via a web browser. When cookies and Local Storage are used, the following data is stored and transmitted: session IDs, language settings, login information, entered search terms, frequency of page views, origin of the initial page visit, usage of website functions, referring pages (referrers), countdown timers, split-test URLs, and page visits. The data collected on our website is pseudonymized through technical safeguards. Consequently, it is no longer possible to attribute this data directly to you. This data is not stored in conjunction with any other personal data belonging to you. The legal basis for the processing of personal data using cookies and Local Storage is Art. 6 Para. 1 lit. f of the GDPR.
b. Registration for Member Areas and Webinars:
You have the option to register on our website. In this instance, we collect the personal data that you voluntarily provide to us during the registration process (e.g., your company name, address, email address, account details, and telephone number). The specific data collected is evident from the respective input forms. Accordingly, the legal basis for the processing of your data is Art. 6 Para. 1 lit. b of the GDPR. For further information regarding data protection, please refer to the FunnelCockpit Privacy Policy available at: https://funnelcockpit.com/datenschutz/.

The purpose of reCAPTCHA is to verify whether data entry on our websites (e.g., in a contact form) is performed by a human or by an automated program. To this end, reCAPTCHA analyzes the behavior of the website visitor based on various characteristics. This analysis begins automatically as soon as the website visitor enters the website. For the analysis, reCAPTCHA evaluates various pieces of information (e.g., IP address, the duration of the website visitor's stay on the website, or mouse movements made by the user). The data collected during the analysis is forwarded to Google.
The reCAPTCHA analyses run entirely in the background. Website visitors are not notified that an analysis is taking place.
Data processing is carried out on the basis of Art. 6 Para. 1 lit. f of the GDPR. The website operator has a legitimate interest in protecting its web offerings against abusive automated crawling and against SPAM.
For further information on Google reCAPTCHA as well as Google’s Privacy Policy, please refer to the following links: https://policies.google.com/privacy?hl=de and https://www.google.com/recaptcha/intro/android.html.
7. Zoom Video Conferencing System
Purpose of Processing:
We use the video conferencing system "Zoom" to conduct telephone conferences, online meetings, video conferences, and/or webinars (hereinafter referred to as "Online Conferences"). Zoom is a service provided by Zoom Video Communications, Inc., which is headquartered in the USA. The entity responsible for data processing directly related to the conduct of Online Conferences is ASB NRW e.V.
What data is processed?
Various types of data are processed when using "Zoom." The scope of the data depends, in part, on the information users provide prior to or during their participation in an "Online Meeting."
The following personal data is subject to processing:
User details: First name, last name, telephone number (optional), email address, password (if "Single Sign-On" is not used), profile picture (optional), department (optional).
Meeting metadata: Topic, description (optional), participant IP addresses, device/hardware information.
In the case of recordings (optional): MP4 file containing all video, audio, and presentation recordings; M4A file containing all audio recordings; text file of the Online Meeting chat.
In the case of dial-in via telephone: Information regarding the incoming and outgoing telephone numbers, country name, start and end times. Additional connection data—such as the device's IP address—may also be stored.
Text, audio, and video data: Participants may have the option to use the chat, Q&A, or polling functions within an "Online Meeting." In this context, any text entries made therein are processed for the purpose of displaying them within the "Online Meeting" and, where applicable, logging them. To enable the display of video and the playback of audio, data from the device's microphone—as well as from any connected video camera—is processed for the duration of the meeting. Users can turn off or mute their camera or microphone themselves at any time via the Zoom applications.
To participate in an online meeting or enter the meeting room, participants must provide at least their name.
Scope of Processing:
We use "Zoom" to conduct "online meetings." If we intend to record "online meetings," we will inform you of this transparently in advance and—to the extent necessary—request your consent. If a recording is in progress, the "Zoom" application will also indicate this. If it becomes necessary for the purpose of documenting the results of an online meeting, we will log the chat content. However, this will generally not be the case. In the case of webinars, we may also process questions submitted by webinar participants for the purposes of recording and following up on the webinars. If you are a registered user on "Zoom," reports regarding "online meetings" (meeting metadata, telephone dial-in data, questions and answers in webinars, polling functions in webinars) may be stored by "Zoom" for up to one month. Automated decision-making within the meaning of Art. 22 GDPR is not employed.
Legal Bases for Data Processing:
The legal basis for data processing when conducting "online meetings" is Art. 6 para. 1 lit. b) GDPR, insofar as the meetings are conducted within the framework of contractual relationships. Should no contractual relationship exist, the legal basis is Art. 6 para. 1 lit. f) GDPR. In this instance as well, our legitimate interest lies in the effective conduct of "online meetings."
Recipients / Data Transfer:
Personal data processed in connection with participation in "online meetings" is generally not disclosed to third parties, unless such data is specifically intended for disclosure. It should be noted that content from "online meetings"—much like that from in-person meetings—often serves the specific purpose of communicating information to customers, prospective clients, or third parties, and is therefore intended for disclosure. Additional Recipients: The provider of "Zoom" necessarily gains access to the aforementioned data, insofar as this is provided for within the scope of our data processing agreement with "Zoom."
Data Processing Outside the European Union:
Zoom is a service provided by a U.S.-based provider. Consequently, the processing of personal data also takes place in a third country. Zoom’s corresponding privacy policies apply in this context, including with regard to data protection within the EU. Further information regarding the data protection practices of Zoom Video Communications, Inc. is available at https://zoom.us/de-de/privacy.html.
